Privacy Policy
Last updated: 1 October 2026
Your privacy is the heart of what we do. We collect as little information about you as possible, and we never record what you say in a session.
1. Who we are
Simply Heard is provided by DKL Professionals Ltd (company number 17012583). We are registered with the Information Commissioner's Office (ICO registration number ZC262894).
Questions about your data: info@simplyheard.co.uk
2. What we never collect
- We do not record sessions — no audio, no video.
- We do not keep notes of what you talk about.
- We do not ask for your medical history, diagnosis or other health details.
3. What we do collect
| Information | Why we need it | Lawful basis |
|---|---|---|
| Your name (or a name you choose to use) | To book and run your session | Contract |
| Email address and/or phone number | To confirm bookings and connect your session | Contract |
| The tier and time you book | To deliver and manage your session | Contract |
| Payment information | To take payment (handled by our payment provider; we never see your full card number) | Contract and legal obligation |
| Messages you send through our enquiry form | To reply to you | Legitimate interests |
| Basic website data (e.g. pages visited, via cookies) | To keep our website working and improve it | Consent (non-essential cookies) |
4. Session log
For every session we keep a short, anonymous record: a reference number, the date and time, which Listener took it, and simple yes/no checks (for example, that the session took place). It contains no names and nothing about what was said. It helps us resolve any dispute fairly and is deleted after 2 years.
5. If someone is at risk
If a Listener believes you or someone else is at serious risk of harm, we may need to share limited information with emergency services, your GP or a local safeguarding team. We only share what is needed to keep people safe. This is allowed under data protection law to protect someone's vital interests or to prevent harm. Any record of this is held securely by our safeguarding lead only.
6. If your employer pays for your sessions
Your employer receives only the total number of sessions used across the organisation each month. They are never told whether you used the service, when, which Listener you saw, or anything you said.
7. Who we share information with
We never sell your data. We only share it with:
- Your Listener — only the details needed to hold your session
- Service providers who help us run Simply Heard (booking, video calls, payments, email and website hosting), under contracts that protect your data
- Our professional advisers and insurer, where needed, without session content
- Authorities where the law requires it or where someone is at serious risk (see section 5)
Some providers may store data outside the UK. Where they do, we make sure suitable safeguards are in place, such as UK-approved contract terms.
8. How long we keep it
| Information | How long |
|---|---|
| Booking and contact details | Up to 6 years after your last session (for tax and legal reasons) |
| Payment records | 6 years (legal requirement) |
| Anonymous session log | 2 years |
| Enquiries that don't lead to a booking | 12 months |
| Safeguarding records (if any) | As required by law and safeguarding guidance |
9. Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct it
- ask us to delete it (unless we must keep it by law)
- object to or restrict how we use it
- withdraw consent at any time, where we rely on consent
- ask us to transfer it to you or another organisation
Email info@simplyheard.co.uk. We will reply within one month. There is no charge.
If you are unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
10. Keeping your information safe
We use secure, password-protected systems with two-factor sign-in. Our Listeners follow strict confidentiality and IT security rules, take sessions in private, and never keep copies of your details.
11. Cookies
Our website uses essential cookies to work. We only use analytics or marketing cookies if you agree to them through our cookie banner, and you can change your choice at any time.
12. Changes to this policy
We may update this policy. The latest version will always be on this page, with the date it was last updated.
